What information we collect
We only collect the information needed to arrange and carry out your transfer. This includes:
- Contact details — your name, phone number and email address so we can confirm your booking and reach you on the day.
- Journey details — pickup and drop-off addresses, date and time of travel, number of passengers, luggage and the vehicle class you choose.
- Flight or vessel information — flight number, return flight number, departure/arrival airport, terminal and gate, where relevant, so we can track delays and adjust pickup times.
- Special requests — any free-text notes you add, such as accessibility requirements, child seats, extra stops or meet & greet preferences.
- Payment information — we do not store full card numbers. Payments are handled by Stripe and we only keep a payment status, payment method and the Stripe session or payment-intent reference.
- SMS and chat messages — messages you send to us by SMS or through the AI chat assistant, including any callback phone number you choose to leave.
- Analytics and marketing data — pages visited, session ID, UTM parameters, referrer and landing page, plus the Google click ID (gclid) when you arrive from a Google Ads campaign. This helps us understand how the site is used and improve our advertising.
Why we need that information
We collect and use personal data because it is necessary to:
- Provide the transfer — without pickup/drop-off details, a time and a way to contact you, we cannot arrange or perform the journey.
- Communicate about your booking — we send booking confirmations, driver updates, flight-delay alerts and payment receipts by email and/or SMS.
- Track flights and plan routes — flight numbers and addresses are used to monitor arrival times, estimate journey duration and pick the best route.
- Process payment — Stripe needs contact and billing context to authorise and receipt your payment.
- Comply with legal and licensing obligations — licensed taxi and private-hire operators must keep certain records for tax, insurance, regulatory and dispute-resolution purposes.
- Improve the service — aggregated analytics show us which pages and features are useful, and help diagnose problems.
Who we share your data with
We do not sell your personal data. We only share it with the people and services needed to deliver your booking:
- The assigned driver — pickup/drop-off addresses, passenger count and contact phone number so they can find you and confirm the journey.
- Stripe — for payment processing. Stripe collects card details directly on its secure checkout page; we do not see or store them.
- Google — when you type an address, the autocomplete feature sends partial address text to Google to suggest matching locations. Google also receives page-view and conversion events (including the Google click ID) to measure advertising performance and improve the website. These services may place cookies in your browser.
- Flight tracking data providers — flight numbers may be sent to aviation-data services to look up live arrival times and delay information.
- OpenStreetMap / Nominatim — the coverage checker on the contact page sends a postcode or town name to Nominatim to confirm whether we cover your area.
- Regulators and authorities — where we are legally required, for example for HMRC, licensing authorities or law-enforcement requests.
Cookies and analytics
We use first-party analytics to understand how visitors use the site, and we also load Google Tag Manager and Google Ads conversion tags. These services may set cookies and process IP addresses, browser information and browsing activity. If you prefer, you can adjust or disable cookies in your browser settings.
How long we keep your data
We keep personal data only for as long as we have a legitimate reason to keep it. Current retention periods are:
- Booking records — kept for up to six years after the journey date, for tax, insurance and regulatory record-keeping.
- Chat and SMS messages — kept for up to one year.
- Analytics events — kept for up to 90 days, then aggregated or deleted.
- Email and invoice records — kept for the same period as the related booking for accounting and tax purposes.
How we protect your data
We store data in a secure backend database with access controls, encrypted connections, and role-based permissions for staff. Payment data is handled entirely by Stripe on its own PCI-compliant infrastructure. We regularly review access, keep software up to date and train staff to handle personal data responsibly.
Your rights
Under UK data protection law you have the right to:
- Ask what personal data we hold about you (a subject access request).
- Ask us to correct inaccurate information.
- Ask us to delete your data where there is no overriding legal reason to keep it.
- Object to certain processing, such as direct marketing.
- Request a copy of your data in a portable format.
- Withdraw any consent you have given, where we rely on consent.
