On-Time Airport Pickup: How to Make Sure Your Driver Is There

Abstract route linking flight arrival and pickup

An on-time airport pickup comes down to four things: a booking with a licensed private hire operator, the right flight details, a clear meeting point and a fixed price agreed in advance. Get those right and the driver is waiting when you walk out of arrivals, whether your flight lands early, late or on schedule. This guide explains how each piece works, what to check before you book, and where pickups most often go wrong.

TL;DR

  • Book your pickup in advance with a licensed private hire operator. A private hire vehicle that has not been booked is uninsured and illegal.
  • Give your flight number, not just a time. Flight tracking lets the driver follow your actual landing, so a delay or an early arrival does not leave you stranded.
  • Agree the meeting point before you fly: inside arrivals with a name board (meet and greet) or at a set car park or pick-up area.
  • A fixed price agreed at booking removes the risk of meter creep, surge pricing and surprise extras.
  • From Nottinghamshire and Derbyshire, our fixed fares start at £35 to East Midlands Airport, and you can get an instant quote online.

Why airport pickups go wrong

Most late pickups are not caused by a driver oversleeping. They come from a small number of avoidable gaps.

  • The booking has a time but no flight number. The driver is told 14:30, your plane lands at 13:50, and nobody is watching the real arrival.
  • The meeting point is vague. Large airports have several terminals, car parks and pick-up zones. “Outside arrivals” means different things at different places.
  • The passenger and the driver cannot reach each other. A wrong mobile number, or a phone left on flight mode, turns a five-minute hold-up into a half-hour search.
  • The vehicle is wrong for the party. Four adults with four large suitcases do not fit in a saloon, and the driver finds out at the kerb.
  • The ride was not booked properly. A last-minute app ride can surge in price or take longer to arrive precisely when you are tired and want to go home.

Each of these is fixed at the booking stage, before you leave the house. The rest of this guide goes through them in order.

Start with a licensed, pre-booked operator

In England, minicabs and other private hire vehicles are not allowed to pick up passengers who simply walk up to them. Transport for London states that all minicab and private hire journeys must be booked with a licensed operator, and that an unbooked private hire vehicle is uninsured, unsafe and illegal. Councils outside London say the same: Stroud District Council, for example, confirms that private hire journeys must be pre-booked through an operator, and drivers cannot take a hire from a rank or be flagged down.

For you as the passenger, that has a practical side. A man approaching you in the arrivals hall offering a lift is not a pickup. Your driver is someone you booked, who knows your name, your flight and your destination, and who holds a licence from the local authority.

Our own drivers are fully licensed and DBS-checked, and every journey is booked in advance. If you want to understand the difference between a hackney cab and a private hire car in more detail, our guide on how to spot licensed taxis and private hire vehicles covers what to look for on the plate, the door and the booking confirmation.

The details to give when you book

The more precise your booking, the less can drift. Have this ready before you start the form.

  1. Flight number and departure airport. This is the single most useful detail. The scheduled arrival time can change; the flight number lets the operator see what is actually happening.
  2. Terminal, if you know it. Your booking confirmation or airline app will say. Terminals can be reassigned, so the flight number matters more than the terminal.
  3. A mobile number that works abroad or on arrival. Add a second contact for the person travelling with you if you can.
  4. Passenger and luggage count. Include pushchairs, golf bags, skis, wheelchairs and anything oversized.
  5. Your exact drop-off address with postcode. Include a gate code or a note if your property is hard to find.
  6. Whether you want meet and greet. A driver holding a name board inside arrivals is a different service from meeting at a car park.

With those six items, the operator can assign the right vehicle and the driver knows what to expect. On our booking page you get an instant quote as you enter the journey, and the price you see is the price you pay.

How flight tracking handles delays and early landings

Flight tracking is the feature that makes an “on-time” pickup possible when the flight itself is not on time. The driver does not rely on the printed schedule. They watch the live status of your flight and plan around the real landing.

Here is what that means in each case.

Your flight is delayed

The driver sees the new estimated arrival and does not set off for the airport based on the old time. You do not need to phone anyone from the departure lounge to say you are running two hours late. You also avoid the situation where a driver circles the car park for an hour.

Your flight lands early

Early arrivals are more common than people expect, particularly on short-haul routes with a tailwind. Because the driver follows the flight, they head to the airport with the landing time in mind, not the scheduled one. Landing is only the start of your journey through the airport, though: you still have to get off the plane, clear the terminal and, on international arrivals, go through passport control and baggage reclaim. That buffer is normal, and a good operator builds it in.

Your flight is diverted or cancelled

Tell the operator as soon as you know. A diversion to a different airport changes the whole journey and the quote, so a phone call or message is better than a driver waiting at the wrong terminal.

We track flights on every airport transfer we run, and bookings can be made around the clock, so a late-night or early-morning landing is handled the same way as a lunchtime one.

Where you actually meet your driver

The meeting point is the second major source of missed connections. It depends partly on the airport and partly on the service you choose.

Meet and greet in arrivals

With meet and greet, the driver waits inside the arrivals hall holding a sign with your name. This is the easiest option if you are travelling with children, a lot of luggage, or after a long-haul flight, because you only have to find one person and walk to the car together. It also means you do not need to work out which car park or kerb to use.

Pick-up at a designated car park or area

Many airports no longer allow vehicles to stop at the terminal front. Heathrow is a good example: pick-ups are available from Terminal Parking and the Park & Ride car parks, Terminal 4 also has a Priority Pick-Up Area, and pick-ups are prohibited on the terminal forecourts. If your driver is meeting you in a car park, you will be told where, and it is worth saving that location in your phone before you land.

Check what the driver’s waiting time costs

Car park charges apply to pickups at many airports, and the clock starts when a car enters. Heathrow’s Terminal Parking, for instance, charges £8.00 for 0 to 29 minutes from 6 January 2026, with fees rising the longer the car stays. That is why a driver who tracks your flight and arrives when you are about to walk out is cheaper than one who has been waiting for an hour.

At East Midlands Airport, the airport’s own pick-up and drop-off page lists short-stay pick-up and drop-off charges that start at £12 for up to 30 minutes, and its Rapid Drop Off area is for quick drops only. Charges change, so always check the airport’s page for the current figures. If you are weighing up driving yourself against a taxi, our guide to East Midlands Airport parking and when a taxi wins puts the numbers side by side.

Fixed price versus meter versus surge

An on-time pickup is partly about the clock and partly about the bill. You can arrive on time and still arrive angry if the fare is double what you expected.

There are three common ways to pay for a ride home from the airport:

Option How the price is set Main risk
Pre-booked private hire with a fixed fare Agreed at the time of booking None on price, if the operator guarantees it
Rank taxi (hackney carriage) Metered or fixed fare depending on the airport Traffic and waiting time can push the fare up
On-demand ride-hailing app Algorithm, based on demand Surge pricing at busy times

On the rank taxi side, there can be extras too. For example, Transport for London notes that taxi fares may include an extra charge of up to £6 for dropping passengers in Heathrow’s terminal drop-off zones, to help cover the charge introduced by Heathrow Airport Limited.

A fixed fare gives you the number up front. If you want to see why fares can climb when demand peaks, and how booking ahead avoids it, the same logic applies whether you are flying home or booking ski resort transfers for a winter trip. For a straight comparison of the two approaches on an airport run, read our guide on locking a fixed fare versus risking a metered taxi.

What our fixed fares look like from Nottinghamshire and Derbyshire

These are our published one-off fares to the main airports. They are the prices on our airports page:

Airport Fixed fare
East Midlands Airport £35
Leeds Bradford Airport £70
Birmingham Airport £75
Manchester Airport £100
London Luton £120
London Stansted £130
London Heathrow £160
London Gatwick £170

The fare is the same whatever the time of day, and it does not move if your flight is delayed and the driver has to wait for the new landing time. We also run seaport and cruise transfers and resort and holiday transfers on the same fixed-price basis.

Choosing the right vehicle

A pickup is only on time if everyone and everything fits in the car when it arrives.

Families and groups

Count people, then count bags, then add child seats, pushchairs and anything else. A family of five with two pushchairs and four suitcases needs more than a standard saloon. Our 8-seater minibuses are designed for groups and families, and you can read about group and family transfers before you book. Tell us at booking if you need child seats, so they are fitted before the driver sets off.

A useful rule: if you are unsure whether it all fits, book the larger vehicle. The cost of an upgrade is usually smaller than the cost of a second car or a delay at the kerb.

Business travellers

If you travel for work, the checks are different. You want a driver who is on time, a vehicle that is clean and quiet enough to take a call in, and the paperwork handled without effort. For regular trips, a corporate account means journeys are invoiced monthly instead of being paid for one by one. We offer executive vehicles and corporate account invoicing. Our guide on when an executive car beats a standard taxi explains where the extra cost is justified, and our services page lists what is available.

When you arrange regular business pickups, ask three questions of any provider: does the driver track the flight, can the invoice carry a purchase order or reference, and can the same driver or team be requested for repeat trips?

Solo and couple travellers

A standard saloon is usually fine. Spend the money on meet and greet instead if you land late at night, or at an airport you do not know well.

Planning the timing: arrival and departure

A pickup and a drop-off use the same logic in reverse.

  • For a pickup: give the flight number, and let the driver track it. Message the operator when you have landed if you want to, and again when you have your bags.
  • For a drop-off: work back from check-in closing and security time, not from the departure time. Add time for traffic on the route you will take, then add a margin. The driver’s job is to arrive at your door at the time booked, so the booked time is where the margin lives.

If you are booking ahead, our guide on how to prebook an airport taxi 24 hours ahead explains what lead time works best. It also helps to avoid paying for a drop-off you did not need: our note on airport drop-off charges in Nottinghamshire and Derbyshire shows what to expect at each airport.

A short checklist before you fly

Print this, or screenshot it.

  • Booking confirmation saved on your phone, with the operator’s phone number.
  • Flight number entered on the booking, and matching your ticket.
  • Driver’s name and vehicle details received, if the operator sends them.
  • Meeting point agreed: arrivals hall with a name board, or a named car park or area.
  • Phone charged, with data or Wi-Fi plan for the destination country.
  • Fixed price confirmed in writing, including any extras such as child seats.
  • Contact number for the operator, in case you need to change anything.

Our view: what makes a pickup on time

We run airport transfers from Nottinghamshire and Derbyshire every day, and the pattern is consistent. A pickup goes smoothly when the details are clear before anyone leaves home, and when the price is not a variable.

Three things matter most to us. First, the flight number, because it is the only reliable way to know when someone is actually arriving. Second, a driver who has been vetted, licensed and DBS-checked, so you can get in the car without second-guessing it. Third, a fixed fare, so that a late flight is only a late flight and not also a bigger bill.

Our view: what makes a pickup on time — overview diagram

We also think people over-plan the drive and under-plan the meeting point. You will spend longer finding the driver in a busy arrivals hall than the driver spends getting there. If you are tired, travelling with children, or landing in the middle of the night, pay for meet and greet and let someone else do the looking.

Our customers rate us highly on Trustpilot for punctuality and service, and that is the standard we hold ourselves to on every booking.

Frequently asked questions

Do I need to tell the driver if my flight is delayed?

Not if the booking has your flight number, because the driver tracks the live status and plans around the real arrival. If your flight is diverted or cancelled, contact the operator as soon as you know, so they can adjust the booking.

Is a pre-booked airport transfer cheaper than a taxi?

It depends on the route, but a pre-booked fixed fare gives you the price in advance, while a rank taxi may be metered and an app ride can rise at busy times. Our East Midlands Airport fare is £35, and the other airport fares are listed above, so you can compare them against a metered quote.

Where will my driver meet me at the airport?

That depends on the service you choose. With meet and greet the driver waits in arrivals with a name board. Otherwise you are given a meeting point, which at some airports such as Heathrow is a designated car park or pick-up area, because pick-ups on the terminal forecourts are prohibited.

Can I book an airport pickup at night?

Yes. We take bookings 24 hours a day, and flight tracking works the same way for a 2 am landing as for an afternoon one. Late-night arrivals are a good case for meet and greet.

What if I have a large group or lots of luggage?

Tell us the number of passengers and bags when you book. We run 8-seater minibuses for groups and families, and child seats can be arranged in advance.
